Better HR System Settings: Policy Overview

The System Settings section in Better HR allows Admins to define and customize key company-wide policies related to attendance, leave, payroll, project-based payments, tax, and more. These settings ensure the platform reflects your organization’s structure and operational rules.


About Policy

Contact Visibility Rules:
You can control how employees view the contact list based on your company policy.

  • All: Employees can view the full contact list across the organization.

  • My Department: Employees can view contacts within their own department only.

  • Direct Report Only: Employees can view only their direct reports.

  • Direct Report and Subsequent Report: Employees can view both their direct and indirect (subsequent) reports.

  • My Department and Subsequent Department: Employees can view contacts within their department, as well as all sub-departments under it.

  • Location: Employees can view contacts who are assigned to the same location.

  • Custom Tag: Employees can view contacts who share the same assigned custom tag (e.g., project team, role group, etc.).


Attendance Settings

  • Remote Check-In Rules:

    • You can choose to allow or restrict manual time adjustments.

    • If disabled, employees can only check in/out at the actual time they perform the action.

  • Multi-Location Office Check-In:

    • Enabled: Employees can check in from any registered office location.

    • Disabled: Check-in is allowed only at the employee’s assigned location.

  • Multi-Location Scan Check-In:

    • Same logic as office check-in, but specific to QR or scan-based attendance.

  • Attendance Approval:

    • You can add multiple approvers.

    • However, employees must select one approver to submit their attendance requests to (no multi-level approval flow).

  • Teammate Visible: Look for the Employee Visibility or Contact List section.


Leave Settings

  • Public Holiday Calendar:

    • If enabled, you can import one or more holiday calendars.

    • Only one calendar can be active at a time.

  • Leave Approval Workflow:

    • Same as attendance approval: multiple approvers can be assigned, but the employee selects only one approver per leave request.

  • Restricted Dates:

    • Add specific days when employees are not allowed to request leave.

  • Leave Type Management:

    • Create and configure leave types based on your internal HR policy.


Payroll Settings

  • Working Hours per Week:

    • Set your company’s standard working hour baseline.

  • Deduction Day-Rate:

    • Configure the formula used for day-based deductions.

  • Allowances & Deductions:

    • Set up formulas for automated calculation of employee allowances and deductions.

  • SSB and Tax Calculation:

    • Configure system-generated social security and tax deductions.


Project-Based Payment & OT

  • Submission Timing Rules:

    • Set limits on how far back or ahead employees can submit OT/project work.

  • Project Hours & Rates:

    • Define project minimum and maximum hours.

    • Set up rate calculations based on Saturday, Sunday, weekdays, and public holidays.

  • Approval Settings:

    • Define single-level approval flows (same as attendance and leave).

  • Calculation Method:

    • Choose the project pay calculation strategy appropriate for your company.


Bank & Tax Automation

  • Bank Automation:

    • Enable or disable direct integration with your bank for payroll disbursement.

  • Tax Setup:

    • Add your company’s TIN Number and Office Stamp.


OT Legacy (Deprecated)

  • This module refers to an old overtime calculation system and is no longer in use.
