In Better HR, you can configure attendance approvals specifically for Remote Check-In/Check-Out requests to ensure proper review and control. This guide will walk you through the setup step-by-step.

Step-by-Step: How to Set Up Attendance Approvals

1️⃣ Go to Settings

  • Click the User Icon from the main menu.

  • Select Settings.

2️⃣ Navigate to Policies

  • Inside Settings, click on the Policies tab.

  • You will see a list of existing policies, including the default Standard Policy and any custom policies you’ve created.

3️⃣ Select the Policy

  • Click on the policy where you want to configure attendance approvals.

4️⃣ Go to Attendance Tab

  • Inside the policy settings, click on the Attendance tab.

5️⃣ Attendance Approval Setup

  • On the right side, find the section:
"Who do employees need attendance remote checkin/out approval from?"

Approval Options:

  • Their Manager

    • The attendance request will be sent to the employee’s assigned manager (defined in their employee profile).

  • Permission Groups (HR Manager, Manager, Admin, or Custom Permissions)

    • The employee can select one person from the list of employees who are assigned to that permission group.

    • Even if multiple people belong to the group, only one approver can be selected per request.

✅ This ensures that approval responsibility is clear and streamlined for both employees and approvers.

6️⃣ Set Fallback Approver (Optional)

  • Below the main approval selection, you’ll find:
"If they have no manager, who should approve their attendance?"

  • Click on the box to open the dropdown list.

  • The list will include all users assigned to permission groups.

  • Select a specific fallback approver who will handle attendance requests for employees without assigned managers.

7️⃣ Save the Policy

  • After setting up approvals, click Update Policy to save your changes.

📌 Important Notes

  • Attendance Approval applies only to Remote Check-In/Check-Out.

  • Office Check-In/Check-Out and Scan Check-In do not require approval.

  • Approvers will receive attendance requests via:

    • Mobile App Inbox

    • System Inbox (accessible through the web version)

  • If the assigned approver is unavailable, any authorized user with system access can review and approve requests directly in the system inbox.
