The Expense Tracking System helps companies manage employee expenses more efficiently by allowing employees to submit expense requests and managers to review and approve them in one place.

This article provides an overview of what you can do with the Expense Tracking System.


Expense Category Setup (Settings)

From Settings, system administrators can:

  • Create and manage expense categories (e.g. Travel, Meals, Office Supplies)

  • Control how expenses are grouped and reported across the system


Expense Approval Policy

From Policy, you can:

  • Assign approvers for each expense category

  • Define who is responsible for approving or rejecting expense requests

  • Activate or deactivate expense categories based on your company’s needs

This helps ensure expense submissions follow the correct approval flow and only active categories are available for use.


Submitting Expense Requests (Mobile App)

From the mobile app, employees can:

  • Submit expense requests

  • Select an expense category

  • Enter the reclaim (expense) amount

  • Upload attachments (such as receipts or invoices)

  • Send the request for approval


Approving or Rejecting Expenses

Approvers can:

  • Receive expense requests in their Inbox

  • Approve or reject requests

  • Take action from both mobile and web

This allows faster and more flexible expense approvals.


Expense Management Dashboard

From the Dashboard > Expense tab, you can:

  • View all expense requests submitted by employees

  • Filter expenses by status:

    • All Expenses

    • Pending Expenses

    • Approved Expenses

    • Rejected Expenses

  • Filter expenses by date range

  • Allow system administrators to submit new expense requests directly from the dashboard
