How to Add an Employee's Resignation

Guide to recording an employee resignation request in Better HR

When an employee officially resigns from the company, HR or admin users are responsible for recording the resignation in the Better HR system. This helps ensure accurate record-keeping, updates to payroll, and a smooth offboarding process.

Follow these steps to add a resignation record for an employee:

  • Step 1: Go to the“Employees” Tab

    From the left-hand side menu, click on the“Employees” tab to open the Employee Directory.​

  • Step 2: Click the “Resign” Button

    In the top-right corner, click the “Resign” button.​
    A resignation form will appear.

  • Step 3: Fill Out the Resignation Form​​

    Complete the form with the following information:​

    • Employee – Choose the employee from the dropdown list.​

    • Employee ID – Will fill automatically after selecting the employee.​

    • Position / Department / Manager / Location / Policy – These will auto-fill after selecting the employee.​​

    • Approver – Choose the approver from ​

    • Final Working Date – Select the last official working day of the employee.​

    • Request Message – Write a message to the approver explaining the resignation.​

    • Reason for Resignation – Enter the reason for the employee’s resignation. ​

    • Attachment – (Optional) Upload any supporting documents related to the resignation (e.g., resignation letter).​

  • Step 4: Set New Manager​​​

    If the resigning employee is a manager with direct reports, you'll be asked to assign those employees to a new manager.​

    Select the new manager and click Next to continue.​

  • Step 5: Remove Assets

    If the resigning employee was issued company assets (e.g., laptop, phone), the system will prompt you to review and remove or reassign assets.​


    Complete the asset section and then click confirm.

Step 6: Approval by Manager or Approver
Once the resignation request is submitted, it will be sent to the assigned approver(s) for review.

Approvers can approve or reject the resignation using either of the following methods:

  • Better HR Mobile App:
    Go to the Inbox tab → Select the resignation request → Tap Approve or Reject.

  • Better HR Web System:
    Go to Inbox from the dashboard → Open the resignation request → Click Approve or Reject.
