Overview
This guide explains how to add an employee’s resignation in the system while skipping the approval stage. When approval is skipped, the resignation is automatically approved, and the employee’s status and access are updated based on the final working date you set.
Steps to Add an Employee’s Resignation
Step 1: Go to the Employees Tab
From the left-hand side menu, click Employees to open the Employee Directory.
Step 2: Click the Resign Button
In the top-right corner of the page, click Resign.
The resignation form will appear.
Step 3: Complete the Resignation Form
Fill in the required information as follows:
Approver – Tick the checkbox to skip the approval stage.
Final Working Date – Select the employee’s last official working day.
Request Message – Enter a brief note explaining the resignation (for record purposes).
Reason for Resignation – Specify the reason for the employee’s resignation.
Attachment (Optional) – Upload any supporting documents, such as a resignation letter.
Once all details are completed, proceed to the next step.
Step 4: Set a New Manager (If Applicable)
If the resigning employee is a manager with direct reports, you will be prompted to reassign those employees.
Step 5: Review and Remove Assets
If the employee has been issued company assets (for example, a laptop or mobile phone), the system will prompt you to review them.
Step 6: Verify the Resignation in the Inbox
After clicking Confirm, you can verify that the resignation has been processed successfully.
Go to the Inbox.
Locate the resignation request.
The request will be highlighted in green, indicating that it has already been approved.
Step 7: Check the Employee Profile
You can also confirm the resignation details from the employee’s profile:
Go to Employees and open the employee’s profile.
Navigate to the System tab.
Review the resignation and termination details recorded in the system.
What Happens After Submission
The employee’s resignation will be automatically approved since the approval stage was skipped.
If the Final Working Date is set in the past, the system will automatically:
Update the terminated date to the final working date, and
Deactivate the employee’s account immediately.
If the Final Working Date is set in the future, the system will:
Update the terminated date to the selected final working date, and
Keep the employee’s account active until the final working date is reached.
This ensures a smooth and accurate resignation process without manual approval.
