How to Adjust Standing Leave Balance

Learn how HR or admins can manually update employee leave balances in Better HR using the editable Excel template.

In some cases, HR or admins may need to manually adjust an employee’s leave balance—such as updating carry-forward leave, correcting errors, or aligning with policy changes. Better HR allows you to make these updates easily using an editable Excel file.

  • Step 1: Select Employee(s)
    Tick the checkbox next to the employee whose leave balance you want to adjust.

  • Step 2: Click the Edit Icon
    Once a checkbox is selected, the edit (pencil) icon will appear beside the search bar. Click this icon to open the Edit Leave Balance panel.

  • Step 3: Download the Leave Report Template

Once the file is generated, it will appear at the download icon bottom-left corner of the screen (as shown in the image).​
just click “Download” under "Exported LeaveBalance excel".

  • Step 4: After downloading the Excel file, open it to see the leave balance data for the selected employees.​

    You can edit any of the following columns based on what needs to be updated:​​

    • Yearly Days – Total leave entitlement for the year​

    • Taken Days – Number of leave days already used​

    • Remaining Days – Leave days still available​

    📌 Make sure to only adjust values in the green columns (I, J, and K) and keep the rest of the data unchanged.

    Once done, save the file, then return to the system to upload it back.​

  • Step 5: After saving the updated Excel file, return to the Edit Leave Balance pop-up in the system.​

    • Click "Choose File" and select the file you just saved.​

    • Once selected, the file name will appear in the upload area.​

    • Click "Confirm" to upload the file and apply the updated leave balances.​
