Organizations can now build their own submission forms and define multi-layer approval workflows (up to 4 levels) to match their internal SOPs.
1. Build the Form Template
Navigate to Settings > Custom Record Form.
Create a new form and define the required fields. Currently supported formats include:
Paragraph: For detailed text entries, descriptions, or justifications.
Date Selector: For selecting specific deadlines, event dates, or milestones.
2. Define the Approval Workflow
Once the form is built, you must link it to a Policy to set the authorization rules:
Mobile Access Control: In the policy settings, you can choose to Enable or Disable mobile app access for this specific form.
Set Approvers: You can configure a sequence of up to 4 approvers for each custom record.
3. Submitting and Tracking Requests
Dashboard Entry: Authorized users can add a custom record form for specific employees directly from the dashboard.
Workflow Status: * Pending: Once submitted, the request enters the "Pending" stage and notifies the first approver.
Approved: After the final designated approver signs off, the status updates to "Approved."
Rejected: If any approver denies the request, the status updates accordingly.
4. Monitoring and Audit Trails
You can audit these records individually to keep track of all internal requests. Use the filter options to view specific data:
View Category | Description |
All Requests | A complete history of every form submitted. |
Pending | Requests currently waiting for an approver's action. |
Approved | Finalized records that have cleared the workflow. |
Rejected | Requests that were denied during the approval process. |
5. Submitting from Mobile
How to Submit a Request
Open the App: Navigate to the main menu and tap on Custom Record Forms.
Start a New Request: Tap the (+) icon located at the top right-hand corner of the screen.
Select Form Type: A list of available forms will appear. Select the specific Custom Record Form you need to fill out.
Complete the Form: Fill in the required fields. Depending on how your admin set up the form, this may include:
Paragraph fields (for descriptions or justifications).
Date selectors (to pick specific dates).
Send Request: Review your entries and tap Send Request.
Tracking Your Request Status
After submitting, you don't need to wonder if it was received. You can monitor the progress in real-time:
Pending: Your request has been sent and is waiting for the designated approvers (up to 4 levels) to review it.
Approved: The final approver has signed off, and the record is now official.
Rejected: An approver has denied the request. You can usually see their comments in the history.
β System Ready: Your custom record workflow is now live. Employees will see the new forms based on the policy permissions you have assigned.
